Why connect my Vend account to Airsquare?

If you are using Vend for your point-of-sale (POS), and have a website with Airsquare, it's a great idea to get them talking to each other. By connecting Vend:

  • You can import all your products & customers from Vend into Airsquare.
  • When a sale is made in Vend, the stock is updated in Airsquare (and vice versa).
  • When an order is received in Airsquare, we add the customer into Vend.
  • Products & customers are synchronised between Airsquare & Vend.

How do I connect Vend to Airsquare?

Connecting Vend is really simple:

  1. In Airsquare, Go to Account > Connected apps.
  2. Click Connect app.
  3. Choose Vend from the list of applications.
  4. Click Connect.
  5. You'll then be redirected to Vend where you need to click Allow access.
  6. You'll then be redirected back to Airsquare, where you can choose your Vend connection settings. Click Update settings.

Connection restrictions

We have the following connection restrictions:

  • You can only connect if you have a single currency in Airsquare and it matches the one in Vend.
  • You can only connect if the tax configuration in Airsquare and Vend matches (i.e. both inclusive or exclusive).

How do I import products from Vend into Airsquare?

Importing products from Vend is really easy.

  1. Login to Airsquare.
  2. Go to Website > Products, then click Import products.
  3. Choose Vend as the source.
  4. Follow the wizard steps to complete the import process.

Things to be aware of:

  • We assume the tax configuration in Vend is the same as in Airsquare (i.e both set to tax inclusive or exclusive).
  • If 'track stock levels' is enabled in Vend for a product, we turn stock control on by default. If you don't want stock control on, please switch it off manually after import.
  • Once products are imported, we assume stock control settings in both Airsquare & Vend are kept the same. i.e. both on or both off.
  • We don't set a low stock threshold, you'll need to set this manually.
  • We don't import the brand information.
  • We don't support composite products in Airsquare, so we exclude them from being imported.
  • Once a product is imported, we don't import any new variants on subsequent imports. If you've added new variants in Vend, you'll need to remove/re-import in Airsquare
  • For sub products, Vend sets pricing for each variation combination, therefore we also set pricing on each sub product, even if the price is the same.

How do I import customers from Vend into Airsquare?

Importing customers from Vend is really easy.

  1. Login to Airsquare.
  2. Go to Contacts > People, then click Import people.
  3. Choose Vend as the source.
  4. Follow the wizard steps to complete the import process.

Things to be aware of:

  • You can only import people if they have a first name set in Vend.
  • We don't import some of the fields because they are not available in Airsquare (i.e. gender, date of birth, etc).
  • If customers already exist in Airsquare, we don't link them together with customers you are importing.

How are Vend and Airsquare synchronised?

The following synchronisation rules are applied:

Vend -> Airsquare Airsquare -> Vend

When a product is updated in Vend we update the stock, code, title and description in Airsquare.

The Vend API currently doesn't provide enough detail for us to update the price or variants. 

We don't update the URL name (handle) in Airsquare because this may cause broken links.

We don't update the image because you may have an improved version for the web.

When a product is updated in Airsquare we update the stock, SKU, name, description and retail price in Vend.

We don't update products in Vend if you use the product import.

We don't update the image or variant name/value changes. If the variants change, then you will need to remove/re-import.

When stock is added in Airsquare (from an order cancellation or manual addition), we add the stock to the default outlet.

When stock is removed in Airsquare (from an order or manual removal) we attempt to remove stock from the default outlet.

When a new product is added in Vend we don't add it automatically in Airsquare, you must use the import. This is so you can categorise/tag it correctly. Don't worry, we omit any products you've already imported.

After the initial import, we don't import any new variants.

When a product is added in Airsquare you can optionally choose to add it into Vend.

When a sub product is added in Airsquare, and the product is synchronised with Vend, we automatically add the variant into Vend.

We don't add products to Vend if you use the product import.

When a product is deleted in Vend, we don't delete it from Airsquare. You may still want this product to be available online.

When a product is deleted in Airsquare, you can optionally choose to delete it from Vend.

In Vend, the first variant and product share the same record, therefore we don't automatically delete variants from Vend when deleting a sub product as we may delete the entire product. You'll need to do this manually.

When a product is deactivated in Vend, we don't unpublish it in Airsquare. You may still want this product to be available online.

When a product is unpublished in Airsquare, we don't deactivate it in Vend.

When an item is sold in Vend, the stock is automatically updated in Airsquare.

We don't add an order into Airsquare, they are kept separate.

When an item is sold in Airsquare, the stock is automatically updated in Vend.

We don't add in a register sale into Vend, they are kept separate. 

When a sale is voided, all the stock is returned and updated in Airsquare.

When an order is returned/cancelled/deleted, all the stock is returned and updated in Vend.

When a customer is updated in Vend we automatically update the person in Airsquare.

When a person is updated in Airsquare, the customer is automatically updated in Vend. 

When a customer is added into Vend we automatically add the person in Airsquare (as a customer).

If the customer already exists in Airsquare, we do our best to link them and prevent duplicates.

When an order is received, we automatically add the customer into Vend. If the person already exists in Vend, we do our best to link them and prevent duplicates.

When a person is added in Airsquare, you can optionally choose to add the customer into Vend.

 

When a customer is deleted in Vend, we don't delete it from Airsquare. You may want to keep this customer.

When a person is deleted in Airsquare, we don't delete it from Vend. You may want to keep this customer.

I get a message saying there was a problem with Vend, what does this mean?

This may happen for a few reasons:

  • It may be that Vend is currently unavailable. If the problem persists, please contact us.
  • You've put Vend 'on hold'.
  • You've found a bug! Please contact us.

I get a message saying Vend has been disconnected, what does this mean?

Vend will be disconnected if you change your Vend login credentials. 

If you do get disconnected, simply re-connect.

My stock isn't updating correctly, what's going on?

Things to check first:

  • Have you deleted the default outlet set in Airsquare?
  • Is stock control turned on in both Vend and Airsquare for the product?

If none of the above are the issue it's most likely a bug with the Vend web hooks. They can sometimes fail and need to be recreated. If you update a product in Vend, and the stock isn't quickly updated in Airsquare, then the webhooks have failed. All you need to do is disconnect Vend (see below), then reconnect Vend again (see above).

If lots of your stock is out of sync after reconnecting, contact us and we can run a re-sync process.

My pricing isn't updating correctly, what's going on?

Please ensure you've set the tax configuration (inclusive/exclusive) in Vend and Airsquare to be the same.

Help, my product titles are being chopped off!

Due to the way Vend passes through the product titles to us, you can't have the / character in any of your product titles. Perhaps use a | symbol instead.

I can't remove a sub product price!

So Airsquare runs an inheritance model when it comes to pricing (i.e. the price can be set against the product, and sub products without prices set, inherit it). When you remove a sub product price, we do in fact remove it. BUT, Vend instantly comes back and updates the price back to the inherited price (due to the way the Vend API pricing works).

Unfortunately there's no work around for this. Prices will always be against the sub products.

When I add/update products or sub products in Airsquare my changes aren't appearing in Vend

Couple of things to check:

  1. Vend requires a price and SKU to be provided, if you don't provide these in Airsquare, we are unable to add or update them in Vend.
  2. Have you reached your product limit in Vend? Make sure your current plan limit hasn't been reached.

Can I swap between products with/without variations and still keep them synced in Vend?

No. You'll need to remove the product completely and start again, otherwise you'll see unexpected results.

How do I disconnect Vend from Airsquare?

  1. In Airsquare, Go to Account > Connected apps.
  2. You'll see a list of connected apps. Next to the Vend application, click Disconnect.
  3. Confirm you'd like to disconnect, by clicking Disconnect app.
